Executive Assistant
The Executive Assistant is a hands-on administrative and operational support professional responsible for reducing the day-to-day workload of the business owners, enabling them to focus on clients, projects, and strategic growth.
This role reports directly to Mathew Marfoglia, the Vice-President and director of operations, and ensures the business operates efficiently behind the scenes by managing correspondence, coordinating vendors and service renewals, maintaining organized records and filing systems, and proactively tracking tasks and deadlines to ensure nothing falls through the cracks.

Manage and triage the shared administrative inbox: sort, prioritize, respond where appropriate, route items to the right person, and follow up to closure.
Track and coordinate company service contracts and vendor renewals: flag deadlines in advance and preparing decisions for the owners.
Support regulatory and compliance administration (ACQ, CNESST, CCQ): maintain records, track obligations and deadlines, and prepare and submit documentation.
Coordinate IT and office service requests: track equipment needs and purchases and keep them moving.
Process and organize invoicing and payment paperwork: route invoices for approval, keep billing on schedule, and follow up on outstanding items.
Support HR administration: onboarding and off-boarding paperwork, employee records, and coordination of reviews, benefits, and CNESST case documentation (in support of owner decisions).
Maintain and clean up digital filing systems: keep shared documentation organized, current, and easy to find.
Coordinate office operations and general upkeep: vendor visits, supplies, equipment, and recurring facility tasks.
Document and improve recurring administrative processes for greater efficiency.
Handle sensitive corporate and personal financial information with complete confidentiality and discretion.

Proven experience in an executive assistant, office manager, or operations support role (construction or corporate setting as an asset).
Highly organized and deadline-driven, with strong follow-through and attention to detail.
Proactive problem solver who takes initiative and works well with minimal supervision.
Exceptional interpersonal and communication skills, both verbal and written.
Fully bilingual in English and French, spoken and written.
Proficient with Microsoft 365 applications, including Outlook, Teams, Word, Excel, and SharePoint.

Salary starting at $65,000+, based on qualifications and experience.

Schedule:
Labour Day to May 31: Monday to Thursday 8:00 a.m. to 5:00 p.m., Friday 8:00 a.m. to 3:00 p.m.
June 1 to Labour Day (Summer Schedule): Monday to Thursday 8:00 a.m. to 5:00 p.m., Friday 8:00 a.m. to 12:00 p.m.
Vacation:
Four weeks of annual vacation, following the CCQ construction calendar, two weeks in summer and two weeks in winter.
Group Benefits:
Premiums are shared equally between the employer and employee (50/50). Benefits are available after three months of employment and include: medical, long-term disability, telemedicine, dental and vision care.
